Setting Up Email Review Campaigns
Email review campaigns are one of the most effective ways to generate a steady stream of new reviews from your customers. ReplyFlow makes it easy to create automated campaigns that request reviews at the right time.
How Review Campaigns Work
A review campaign sends a sequence of emails to your customers after a purchase or service interaction. The emails thank the customer, ask about their experience, and provide a direct link to leave a review on your preferred platform.
Creating Your First Campaign
- Navigate to Campaigns in your dashboard sidebar.
- Click Create Campaign.
- Choose a campaign name (e.g., "Post-Service Review Request").
- Configure the campaign settings:
Email sequence:
- Email 1 (Day 1): A thank-you email that checks in on their experience.
- Email 2 (Day 3): A direct review request with a one-click link to your review platform.
- Email 3 (Day 7): A gentle reminder for those who have not yet left a review.
Review platform: Choose which platform to direct customers to (Google, Facebook, or Yelp).
Sender information: Set the "From" name and reply-to email address.
Adding Customers to Campaigns
There are several ways to add customers:
- Manual entry: Add individual customer email addresses from the Campaigns page.
- CSV upload: Upload a spreadsheet of customer email addresses in bulk.
- Automatic triggers: Connect your point-of-sale or CRM to automatically add customers after a transaction (available on Growth and Enterprise plans).
Customizing Email Templates
Each email in the sequence can be customized:
- Edit the subject line to match your brand voice
- Modify the email body text
- Choose which review platform link to include
- Add your business logo and brand colors
- Preview the email before activating
Campaign Analytics
Track the performance of each campaign from the Campaigns dashboard:
- Sent: Total emails sent
- Opened: How many recipients opened the email
- Clicked: How many clicked the review link
- Reviews received: How many actually left a review
Use these metrics to optimize your email timing, subject lines, and messaging.
Best Practices
- Send the first email within 24 hours of the customer interaction while the experience is fresh.
- Keep emails short. One clear ask per email performs better than a long message.
- Use the customer's name to personalize the email.
- Do not send more than three emails per campaign to avoid annoying customers.
- Test your subject lines. Small changes in subject lines can significantly impact open rates.
