Customizing Your Brand Voice

Your brand voice is how your business sounds when it communicates with customers. ReplyFlow lets you configure your brand voice so that every AI-generated response feels authentically yours.

Accessing Brand Voice Settings

  1. Log in to your ReplyFlow dashboard.
  2. Navigate to Settings > Brand Voice.
  3. You will see the brand voice configuration panel with several customizable options.

Tone Selection

Choose the overall tone for your responses:

  • Professional: Polished and formal. Best for law firms, financial services, medical practices, and B2B businesses.
  • Friendly: Warm and approachable while remaining professional. Works well for most local businesses.
  • Casual: Relaxed and conversational. Great for cafes, entertainment venues, creative businesses, and brands with a youthful audience.
  • Custom: Define your own tone with specific instructions.

Business Context

Provide details about your business that the AI should know when crafting responses:

  • Business description: What you do and what makes you different.
  • Key services or products: Your main offerings that customers are likely to mention in reviews.
  • Unique selling points: What sets you apart from competitors.
  • Common customer concerns: Issues that come up frequently so the AI can address them knowledgeably.

Response Preferences

Fine-tune how responses are structured:

  • Length: Choose between concise (1-2 sentences), moderate (3-4 sentences), or detailed (5+ sentences) responses.
  • Sign-off style: How responses end, for example with your name, "The [Business Name] Team," or no sign-off.
  • Call to action: Whether to include a call to action such as "We hope to see you again soon" or "Feel free to contact us directly."

Custom Instructions

The custom instructions field lets you add specific rules the AI should follow. Examples:

  • "Always thank the reviewer by their first name if available"
  • "Mention our 30-day satisfaction guarantee when responding to complaints"
  • "Never reference specific pricing in responses"
  • "For negative reviews about wait times, mention our new scheduling system"
  • "Always end positive review responses with an invitation to try our new menu items"

Testing Your Brand Voice

After configuring your settings, use the preview feature to see how responses would look with your current configuration. The preview generates sample responses for a positive review, a negative review, and a neutral review so you can evaluate the tone and style.

Tips for Great Brand Voice Configuration

  • Be specific. "Friendly but not too casual" gives the AI more to work with than just "friendly."
  • Include examples. If you have a response you loved, paste it into the custom instructions as a reference.
  • Update regularly. As your business evolves, update your brand voice settings to reflect new services, seasonal promotions, or shifts in your communication style.
  • Review periodically. Check a sample of AI-generated responses monthly to ensure the brand voice still feels right.
